Examination Committee

The Examination Cell of Jayalakshmi Institute of Technology (JIT) was established in the year 2008 to coordinate and manage all examination-related activities of the institution in accordance with the regulations and guidelines of Anna University, to which the college is affiliated.

The Principal is the head of the Examination Cell and is responsible for the planning, organization, coordination and smooth conduct of all internal examination-related activities of the institution. The Examination Cell plays a vital role in the academic evaluation process by organizing Continuous Internal Assessment (CIA) for both Undergraduate and Postgraduate programmes as prescribed by Anna University.

The Examination Cell functions systematically to ensure transparency, confidentiality and accuracy in the examination process. It is responsible for preparing the internal examination schedule, coordinating question paper preparation, conducting internal assessment tests, arranging centralized valuation, and submitting internal marks to Anna University within the stipulated time.

The End Semester Examinations (ESE) are conducted by Anna University and the institution provides the required infrastructure, invigilation and administrative support for the smooth conduct of these university examinations.

The Examination Cell consists of the Principal, Examination Cell Coordinator, Department Examination Coordinators and supporting administrative staff, who collectively ensure the efficient conduct of examinations and address student grievances related to internal assessments in a timely manner.

Objectives of the Examination Committee / Result Review Committee

  • To ensure the smooth, fair, and transparent conduct of examinations in accordance with the rules and regulations of the institution and affiliating University.
  • To plan, coordinate, and monitor all examination-related activities including CIE and ESE.
  • To maintain confidentiality, accuracy, and integrity in the preparation of question papers, evaluation of answer scripts, and declaration of results.
  • To ensure the timely publication of examination results and proper maintenance of examination records.
  • To provide a systematic mechanism for reviewing examination results, including revaluation, recounting, and addressing grievances related to evaluation.
  • To resolve student grievances related to examinations and results in a transparent and timely manner.
  • To ensure strict adherence to examination regulations and academic policies prescribed by the institution and regulatory authorities.
  • To continuously review and improve the examination system to maintain academic quality and credibility.
  • To maintain proper documentation and records related to examinations and results for institutional and regulatory purposes.

Functions of the Examination Cell

The Examination Cell of the institution functions in accordance with the regulations and guidelines prescribed by Anna University. The Cell is responsible for planning, organizing, and monitoring internal examinations and coordinating university examinations.

The major functions of the Examination Cell are as follows:

  • To release the Academic Calendar in coordination with departments based on the schedule of Anna University.
  • To prepare and circulate the Internal Assessment Examination Timetables (IA–I and IA–II) to all departments.
  • To coordinate the conduct of Internal Assessment Examinations and Assignments as per Anna University regulations.
  • To ensure that subject handling faculty members prepare question papers for Internal Assessment Examinations.
  • To arrange the confidential printing of question papers before the examination.
  • To distribute the question papers to students at the scheduled examination time.
  • To prepare seating arrangements and examination hall allocations.
  • To appoint invigilators for the smooth conduct of internal examinations.
  • To arrange necessary examination materials such as answer booklets, additional sheets, drawing sheets, and graph papers.
  • To ensure the proper conduct of Internal Assessment Examination – I and Internal Assessment Examination – II.
  • To ensure that Assignment – I and Assignment – II are conducted and evaluated by the respective course faculty members.
  • To collect answer scripts after the completion of examinations.
  • To conduct Central Valuation for Internal Assessment Examinations to ensure transparency and uniform evaluation.
  • To compile and verify internal assessment marks including tests and assignments.
  • To maintain records of internal marks and attendance as required by Anna University.
  • To upload internal marks in the Anna University web portal within the stipulated time.
  • To coordinate with Anna University for the conduct of End Semester University Examinations.
  • To assist in the conduct of University Practical and Theory Examinations.
  • To maintain proper records related to examinations and internal assessments.
  • To communicate examination-related circulars and instructions received from Anna University to the departments and students.
  • To address student grievances related to internal assessments and evaluation and to periodically review examination procedures to improve the effectiveness and credibility of the examination system.

Internal Assessment Examination Process

The institution follows the Anna University regulations for Continuous Internal Assessment. The internal evaluation process consists of Internal Assessment Tests and Assignments.

Step–1: Preparation of Question Papers

  • The subject handling faculty members prepare question papers for Internal Assessment Examination – I and II.
  • The question papers are prepared based on the Anna University syllabus and question paper pattern.

Step–2: Printing of Question Papers

  • The prepared question papers are submitted to the Examination Cell.
  • The Examination Cell arranges confidential printing of the question papers.

Step–3: Conduct of Internal Assessment Examinations

  • The Examination Cell prepares the examination timetable and seating arrangement.
  • Question papers are issued to students at the scheduled examination time.
  • Invigilators supervise the examination to ensure discipline and fairness.

Step–4: Assignment Submission

  • Each course includes Assignment – I and Assignment – II.
  • Students submit assignments to the course faculty members within the specified time.
  • The faculty members evaluate the assignments and record the marks.

Step–5: Central Valuation

  • After the completion of examinations, the answer scripts are collected by the Examination Cell.
  • The institution conducts Central Valuation for Internal Assessment Examinations.
  • Faculty members evaluate answer scripts collectively under the supervision of the Examination Cell.

Step–6: Compilation of Internal Marks

  • Internal marks are calculated based on:
  • Internal Assessment Examination – I
  • Internal Assessment Examination – II
  • Assignment – I
  • Assignment – II
  • The marks are verified by the Head of the Department.

Step–7: Submission to Anna University

  • The finalized internal marks are uploaded to the Anna University portal within the stipulated deadline.

Role of the Controller of Examinations

  • To coordinate the conduct of Continuous Internal Assessment Examinations in the institution.
  • To ensure that examinations are conducted as per Anna University regulations.
  • To supervise the preparation, printing, and distribution of question papers.
  • To organize central valuation for internal examinations.
  • To ensure timely compilation and submission of internal assessment marks.
  • To coordinate with Heads of Departments and faculty members for smooth conduct of examinations.
  • To maintain records related to examinations and internal assessments.

End Semester Examinations (Anna University)

  • The ESE for all Undergraduate and Postgraduate programmes are conducted by Anna University as per the regulations and examination schedule issued by the University.
  • The institution functions as an examination centre and follows the instructions and guidelines provided by Anna University for the smooth conduct of university examinations.
  • The responsibilities of the institution during the End Semester Examinations include the following:
    1. To receive the examination timetable and instructions issued by Anna University.
    2. To communicate the ESE schedule to all departments and students.
    3. To make necessary arrangements namely examination halls, seating arrangements and display of hall plans.
    4. To appoint Chief Superintendent, Invigilators and supporting staff as per Anna University guidelines.
    5. To ensure proper distribution of question papers received from Anna University at the scheduled time.
    6. To maintain strict discipline and examination regulations in the examination halls.
    7. To collect and pack the answer scripts after the examination as per university procedures.
    8. To dispatch the answer scripts and required documents to Anna University within the stipulated time.
    9. To report any examination malpractice cases to Anna University through the Chief Superintendent.
    10. To ensure that all university examinations are conducted in a fair, transparent and disciplined manner.
